Interim Assignments (Faculty)

When to use:

Use in cases where critical business needs require temporary emergency placement while a competitive search is being conducted

Instructional Positions

Use when a vacancy for a position crucial to an instructional need occurs so close to the required start date for the assigned course that a search is not feasible or reasonable. Also during the term (or semester), a department may hire an officer of instruction on a temporary basis without a competitive search.  The unit should first attempt to fill any such needs through the open applicant pool.

Non-Instructional Positions

In an emergency situation in which failure to fill a vacancy would compromise the health and safety of the UO community or compromise the operations of the unit, the unit may request an interim direct appointment to hire someone to fill a position on a short term basis, while it conducts a competitive search.

Process:

  • Unit/Department will obtain preliminary approval via e-mail from VP/Dean to pursue request for up to 1 year.
     
  • Unit/Department will submit an updated position description via MyTrack and attach preliminary approval e-mail in the documents tab.
     
  • Unit/Department will provide justification, potential comparators (if known), and list the recurring funding source via MyTrack in the notes section. Unit/Department will follow the  position description approval process via MyTrack.
     
  • HR review in MyTrack: FLSA status (exempt or nonexempt), classification status, compensation band, salary commensurate with new position, and ensure the position’s responsibilities align with the requirements listed in the position description.
     
  • Unit/Department will create a requisition via MyTrack. Select “Direct Appointment” as the recruitment reason; the Direct Appointment type will be “Interim Assignment”. Complete and upload the Request for Direct Appointment form in the documents tab on the requisition. Submit requisition through requisition approval process in MyTrack.
     
  • HR will review the requisition and create a hidden job link. HR will provide the link and instructions to the person being appointed, who will need to use the link to complete an application via MyTrack.
     
  • Unit/Department completes offer card via MyTrack.
     
  • HR will initiate exceptions approval process, if necessary. See below for details.

Note: In most cases, increases will be effective only prospectively, beginning the pay period following HR’s receipt of the request and all required information and approvals.

Exception approval required if:

  • The salary increase requested is more than 20% of current salary or is above the compensation band maximum. This will require approval by the Provost.
  • There is a lack of alignment between Dean and HR regarding compensation band or salary increase amount. This will require approval by the Provost.
