What you do:
Step 1: Receive email notification
You will receive an email notification if a position description (PD) or job requisition requires your approval.
What you see:
The notification email will contain a link to log into MyTrack. Sign in with your DuckID.
Step 2: Log into MyTrack and access the job
On your MyTrack home page, in the tile labeled Approvals, select Jobs awaiting your approval (for both PDs and job requisitions). On the Manage approvals page, click View for the PD or job requisition you need to review.
Step 3: Review the PD or job requisition
Most of the information is on the Position info page. Additional information may be found on the Notes and/or Documents tabs.
Step 4: Approve or decline the PD or job requisition.
After reviewing the PD or job requisition, take one of the following actions:
- Click Save a draft if you have made changes, but are not ready to approve or decline the PD or job requisition (make notes on the notes tab).
- Click Approve to approve the PD or job requisition.
- Click Decline to decline the PD or job requisition.
- Click Cancel if you have not made any changes to the PD or job requisition but are not ready to approve or decline.
If you approve the PD or job requisition, an email will automatically be sent to the next approver.
If you decline the PD or job requisition, you will be prompted to enter a reason for the decline. This reason will be recorded as part of the approval process and emailed to the originator of the PD or job requisition.
At any time, you may view the progress of approvals on either the PD or job requisition. Scroll to the bottom of the PD or job requisition screen to the Approval process section.
All approvers in the approval process will get a notification that a position description or job requisition has been approved. Approvers can access items they have approved by clicking on Approved from the Approvals tile. Alternatively, you can select "completed" for approval status from the manage approvals area.
